The lists roll forward
Every client’s checklist comes across from last month, with any changes you made. Anything still unresolved comes too, marked as carried, so an open item can’t quietly disappear when the month turns over.
Each client then gets one request. It lists only what they owe, in the words you’d use.
Fenwick Joinery, new month
- Bank statementDue 2nd
- Payroll summaryDue 2nd
- Fuel receipts (carried from {period})Due 1st
3
Due dates are set per client
Moorfield Electrical can manage the 3rd. Juniper Day Nursery’s funding paperwork doesn’t exist until the 8th. Lateness counts from each client’s own date, so nobody is flagged for a deadline they could never meet.

First reminders are ready
The day after a due date passes, a draft is waiting. It thanks the client for what’s arrived and lists what hasn’t. You read it, change what you like, and send it yourself.
Thanks for the bank statement and the payroll summary. To finish {period} I still need:
- Card statement
- Supplier bills

Something arrives wrong
A statement with missing pages isn’t received. Mark it as a query and say what needs fixing. It stays on the client’s list, and your note goes into their next reminder word for word.
- Rent scheduleQueryThe total does not match the client account

Second reminders
Four days late, the tone firms up: what’s missing, why you can’t finish without it, and a date.

Start on whoever is ready
You don’t have to wait for everyone. The board shows which clients are complete, so the books you can finish today don’t sit behind the ones you can’t.

Last call
Eight days late, the reminder says plainly what happens next: you’ll close the month with what you have and carry the rest. After that it’s a phone call, and that’s your judgement, not software’s.

Close and carry forward
Start next month and the board resets. Whatever never turned up moves across with a note of where it came from, and the whole thing starts again on the 1st with no list to rebuild.
